POSITION TITLE: Student Service Specialist

BASIC FUNCTION:
 

Performs advanced and specialized student service and staff assistant duties within a department or unit of the college. Positions assigned to this classification differ from the Student Service Assistant and Staff Assistant classifications due to the requirement to exercise more technical and specialized knowledge of the specific area of assignment. Positions in this classification are required to perform essential tasks that exceed the entry level positions in the unit. Position will be helping and instructing faculty, staff, and students with a variety of computer hardware and software applications.

 

RESPONSIBILITIES:
 

v      Responsible for helping students, the public, faculty and staff by rendering information and services provided by the unit of assignment, in person or over the telephone. Duties involve considerable student, and staff contact.

v      Maintains complex records in specialized laboratory or office records or accounting data for the unit to which assigned.

v      May assist a professional faculty member in laboratory or office administration.

v      Performs research, data collection and special projects for the supervisor.

v      Prepares correspondence, reports, statistics, financial data, documents and other material for the supervisor. Maintains file system for reports, records and correspondence.

v      May maintain specialized financial records and reports within a unit, including the preparation of information for internal and external agencies.

v      Opens, reviews and processes incoming mail.

v      Relieves the supervisor of administrative and office services tasks as assigned. Schedules and participates in meetings, conferences, projects, programs and interviews. Serves as liaison with the assigned department and other college units.

v      Will be helping and instructing faculty, staff, and students with a variety of computer hardware and software application.

v      Operates a personal computer, calculator, fax machine, office copier, data entry equipment and other related office equipment.

v      May function as a lead worker of part time clerical staff and student assistants.

v      A position assigned to this classification may require the taking and transcribing of correspondence and notes.

v      Performs related duties as required.

 

EDUCATION REQUIREMENTS:
 

Graduation from an accredited high school or possession of an acceptable equivalency diploma, supplemented by college level courses in office services skills.
  

EXPERIENCE REQUIREMENTS:
 

Four (4) years experience in office and staff assistant work. Experience in the unit to which the position is assigned is preferred. Working knowledge of a variety of computer hardware and software applications required.

 

KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:
 

Knowledge of or the ability to gain knowledge of the rules and procedures of the unit to which assigned. Knowledge of sentence structure and of word usage. Skill in reading comprehension. Skill in proofreading. Knowledge of basic mathematics. Knowledge of variety of computer hardware and software applications. Ability to establish and maintain complex data by using computer generated data. Ability to establish and maintain good relationships with students, the public, faculty and staff. Ability to relate to students and provide the specialized information required of the position. Ability to operate a personal computer and routine office equipment. Ability to keyboard at a prescribed rate of speed and accuracy. Ability to take and transcribe dictation, if the particular position requires this skill. Communications skills. Office management skills.
