Q: How much time do instructors
have to enter week 1 and week 2 attendance?
A: They have until 11:59PM on
Wednesday of the third week of classes to enter AND approve both week 1 and week
2 attendance.
Q: How much time do instructors
have to enter 60% active participation?
A: They have until 11:59PM on the
tenth (10th) day to enter AND approve their active participation entries starting after the last day students have to withdraw (60%
deadline).
Therefore, if the last day students have to withdraw from class with a grade of
W is on Wednesday, March 25th, then instructors have until 11:59PM, Saturday,
April 4th to enter AND approve their active participation entries.
Q: Why don't instructors who
teach classes that meet near the end of the week have as much time to enter
attendance as those instructors who teach classes that meet earlier in the week?
A: The deadline to enter attendance
is controlled by the session dates and not the class itself. If a regular
session class only meets on Fridays, the week 1 and 2 attendance is still due by
the Wednesday of the third week of classes. This is because officially,
the regular session starts on Monday of the first week of classes and week 2
starts on Monday of the second week of classes which is when the 10 day clock
starts ticking for entering week 1 and 2 attendance.
Q: If a student gets a W or WF
grade due to the erroneous entry of attendance, what must I do?
A: First correct the erroneous
entry and then submit a reinstatement form to the business office or associate
provost office for the W or WF grade to be removed.
Q: What if a student was out for
the first two weeks but now has permission to be in the class?
A: You must change either the week
1 or week 2 attendance entries to "Attended" and type an appropriate comment
explaining the purpose of the change. Keep in mind that if the student is
marked as a "No Show" for both week 1 and 2, they get withdrawn so only one
needs to be changed. If the student already has a W or WF grade on record,
a reinstatement form will need to be completed and submitted to the business
office or associate provost office for the W or WF grade to be removed.
Q: What if a student swapped
from one class to another during the first week? Who's responsible for the
attendance and does it carry over?
A: If the student swapped after the
instructor in the first class entered and approved week 1 attendance, that
attendance should carry over and appear on the attendance screen for the new
class. If the instructor of the first class did not enter week 1
attendance for the student, then the second instructor may never know the
student swapped into his/her class and will probably mark the student as a "No
Show" for week 1 if the student did not attend the second class anytime during
the first week. This is fine as long as the student attends at least one
class during week 2 and the instructor marks the student as "Attended" for that
second week. If the student does not attend class the second week in the
new class, then the student will likely be withdrawn due to two "No-Shows" and
then will argue that they should not have been. In this case, a review
should reveal that the student was in a prior class and the instructor of that
first class should be able to verify the student did attend at least one class
during the first week which at that time, the Dean, PD, or AC should correct the
week 1 attendance for the second class to reflect "Attended" and then submit a
reinstatement form to the business office or associate provost office for the W
or WF grade to be removed.
