POSITION TITLE:          Supervisor, Student Transcript Evaluation                     

DEPARTMENT:            Central Records            SITE: District Office

SALARY SCHEDULE: Career Service Staff       GRADE: 7 - Exempt

BASIC FUNCTION:

Responsible for reviewing, examining, evaluating, and approving a wide variety of credentials to determine student transfer credit, course equivalency, and class standing for students admitted into SPC degree programs. This position also supervises the transcript evaluation function in Central Records.

RESPONSIBILITIES:

v  Coordinates a specialized function within the department to ensure the timely and accurate evaluation of transfer work for SPC students.

v  Recommends policies and procedures related to office procedures and processes pertaining to transcript evaluation.

v  Conducts independent research and utilizes critical thinking skills to evaluate, certify and process transcripts for students seeking admission to SPC programs.

v  Analyzes data and makes conclusions by reviewing credit hours completed, verifying level, content, unit value and grading system of transferring university to determine transferability.

v  Reviews credits from high schools, colleges and universities, education programs approved by American Council on Education, military transcripts, and other authorized providers such as DANTES, CLEP, College Board, etc.

v  Utilizes various articulation agreements and statewide common course numbering system policies and issues.

v  Ensures authenticity of documents and accreditation status of college/universities.

v  Reviews and verifies transcripts received, checks and converts credits to semester system, determines transferability and equivalencies of courses based on course descriptions.

v  Responds to inquiries from students departments or general public using email, telephone, or in person regarding student status or regarding procedures and general transferability information.

v  Designs, implements and maintains rules and administrative procedures within the unit.

v  Analyzes, authenticates and researches documents submitted for evaluation of all transfer credit.

v  Evaluates documents submitted by degree-seeking transfer students to determine transfer course work applicability and/or equivalency.

v  Performs research and special projects for the supervisor.

v  Reviews reports and modifies student records as needed including the processing of both manual and automated on-line transcripts.

v  Ensures that transfer student academic records are accurate and complete by verifying and updating the transfer credits received from regionally accredited post-secondary institutions.

v  Answers, researches, records and resolves questions related to a student’s transfer evaluation.

v  Verifies course equivalencies for all SPC transient student requests to take courses at another institution to be transferred back to SPC.

v  Keeps abreast of current SACS and Department of Education requirements and policies concerning accreditation and transfer work

v  Supervises and trains transcript evaluators.

v  Trains and supervises of student workers, volunteers and OPS personnel assisting with the daily functions of the Central Records department.

v  Maintains a library of materials & training manuals relevant to job function. .

v  Designs and conducts training programs for Advisors and admissions staff on transcript evaluation policies and procedures.

v  Pursues professional development opportunities designed to improve performance effectiveness.

v  Performs other related duties as required.

EDUCATION REQUIREMENTS:

Associates degree. Bachelor’s degree is preferred or significant work toward a bachelor’s degree.

EXPERIENCE REQUIREMENTS:

Four (4) years of experience in responsible administrative work including one year’s experience evaluating transcripts in a postsecondary institution. Experience with college level courses and descriptions preferred. Experience in a customer service environment.  Prior supervisory experience.

KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:

Knowledge of general admissions procedures and transferability requirements in a postsecondary institution. Knowledge of accepted policies and practices of American higher education related to granting of credits and degrees, course structures and grading practices. Knowledge and skill in general office procedures. Knowledge of Microsoft applications, data bases and web applications. Proficiency in the use of Microsoft Office software. Knowledge of FERPA and ability to comply with confidentiality requirements. Ability to retrieve and update information in PeopleSoft or other enterprise database systems. Ability to apply principles of logical and critical thinking to define problems, collect data, establish facts and draw valid conclusions. Ability to multi-task and meet deadlines with minimal supervision. Ability to respond effectively to inquires from various constituents. Ability to communicate with a broad array of individuals from various professional backgrounds. Oral and written communication skills. Ability to work under stressful conditions while maintaining a required level of professionalism. Possession of organizational skills with a demonstrated focus on attention to detail.
