POSITION DESCRIPTION
POSITION TITLE: Administrative and Fiscal Specialist
CLASSIFICATION TITLE: Administrative Specialist II
SALARY SCHEDULE: Career GRADE: 5

BASIC FUNCTION:
Assists the Vice President and Associate Vice Presidents in carrying out a broad range of duties and responsibilities associated with the operation and functioning of the Division of Administrative/Business and Information Services.
RESPONSIBILITIES:
· Develops, calculates, maintains, updates or compiles accounting, budget and financial records and reports as assigned.
· May be assigned to special projects within the finance, budget and/or technology areas to support initiatives of the division.
· Maintains statistical data and generates PeopleSoft and Excel reports of the financial and technology operations and services.
· Coordinates and prepares division wide communication and training programs via the college’s webinar system.
· Maintain the User Productivity Kits (UPK) PeopleSoft training support system and provides user support as necessary.
· Enhance administrative process efficiency via ongoing training activities in critical areas of these processes. Maintains a “standard operating procedures-supervisors tool kit” web site also be a primary responsibility.
· Assists in conducting business process analysis and making recommendations for process improvement.
· Provides the day-to-day administrative support as assigned; prepare and process personnel and purchasing requisitions and other standard documents and forms as required to ensure timely and accurate completion of the division’s business requirements;
· Assists the public, students, faculty and staff by providing information or direction to appropriate areas;
· Assists in the preparation, implementation, and control of the operating budget for the Division;
· Reviews, reconciles and processes logs, documentation, data, reports and proposals relating to the program or assignment.
· Assists the public, students, faculty and staff by providing information concerning the project or services of the program assigned.
· Attends meetings, seminars and conferences to explain or receive information relative to the work assignment.
· Represents the administrative supervisor at meetings and in discussions with students, faculty and staff.
· Assists the supervisor in planning, research and maintenance of the program.
· May supervise the work of clerical staff and student assistants.
· Schedules events, meetings, projects, interviews, tests and programs.
· Performs related duties as required.
EDUCATIONAL REQUIREMENTS:
Associate’s degree required, with emphasis on business, finance or accounting. Bachelor’s degree preferred.
EXPERIENCE REQUIREMENTS:
One year of responsible experience in business administration, finance or related areas, or an equivalent combination of education and/or experience.
KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:
Knowledge of the programs, procedures and operations of the College. Knowledge of accounting practices and procedures. Knowledge of and familiarity with computerized accounting systems. Knowledge of office administrative procedures and practices. Effective communication skills. Knowledge of sentence structure and word usage. Ability to absorb new techniques and procedures and implement them effectively. Ability to maintain good relationships with the public, faculty, and staff.
