POSITION DESCRIPTION
POSITION TITLE: Administrative Generalist
DEPARTMENT: Various SITE: Various
SALARY SCHEDULE: Career - GRADE: 4
BASIC FUNCTION:
Performs a variety of advanced and complex office administrative tasks for a variety of college departments. Work is performed at various SPC work sites, as a “floater.” This classification differs from the Administrative Specialist I classification due to the requirement to perform tasks of several office services positions and report to different work locations as the need arises.
RESPONSIBILITIES:
· Performs tasks such as reviewing incoming memos, submissions, and reports in order to determine their significance and to plan for their distribution.
· Stores, retrieves and integrates information for dissemination to staff and clients.
· Disseminates information by using the telephone, mail services, Web sites and e-mail.
· Schedules meetings and appointments. May handle travel and guest arrangements.
· Manages and maintains paper and electronic files and data.
· Performs tasks using software applications, such as desktop publishing, project management, spreadsheets, and database management.
· Assists in coordinating or supervising a program or administrative project within the unit of assignment.
· Creates and maintains specialized data, records and reports relating to the department to which assigned.
· Reviews, reconciles and processes logs, documentation, data, reports and proposals relating to the program or assignment.
· Assists the public, students, faculty and staff by providing information.
· Attends meetings, seminars and conferences to explain or receive information relative to the work assignment.
· Represents the administrative supervisor at meetings and in discussions with students, faculty and staff.
· Assists in planning, research and maintenance of the program.
· May supervise the work of clerical staff and student assistants.
· Schedules events, meetings, projects, interviews, tests and programs.
· Maintains budget records, payroll information, purchase orders, student grade and attendance records and related information.
· Processes accounting and fiscal records and reports.
· Responsible for assuring that the unit to which assigned is operating within college rules and regulations and applicable laws.
· Performs advanced administrative specialist, staff assistant, technician and office services tasks as assigned by the supervisor.
· Performs related duties as required.
EDUCATIONAL REQUIREMENTS:
High School diploma required. Associate's degree preferred.
EXPERIENCE REQUIREMENTS:
Three (3) years experience in responsible office services administrative work in an educational institution or comparable related experience.
KNOWLEDGE/ABILITIES/SKILL REQUIREMENTS:
Knowledge of software applications, such as desktop publishing, project management, spreadsheets, and database management. Knowledge of a variety of college programs and operations. Knowledge of office administrative procedures and practices. Proficient in typing, spelling, punctuation, grammar, and oral communication. Ability to maintain good working relationships with students, faculty and staff. Verbal and written communications skills. Skill in reading comprehension. Computer and calculator skills. Skilled in customer service and interpersonal skills. Ability to adapt to changing environments and projects.
ADDITIONAL REQUIREMENTS:
Must be capable of reporting to assignment at different SPC sites, as work locations may vary on a scheduled basis.
