Events Specialist

BASIC FUNCTION:
Plans and Implements internal and public events
as well as social functions for the college. Collaborates with the College
president's office and campus administration regarding initiation, scheduling,
and planning of special events. Interfaces with vendors to arrange for food,
beverages, decorations and other materials.
RESPONSIBILITIES:
- Plans and implements the successful
evolution of various specialized and/or college-wide events and functions,
such as convocations, job fairs, luncheons, receptions banquets, and
recognition events.
- Implements actions internally within the
college, and externally with public contacts and vendors in planning and
implementing college events.
- Interfaces with vendors to arrange for food,
beverages, decorations, musicians, serving staff, speakers, professional
photographers, etc.
- Recommends and implements site selection,
menu selection, facility arrangements, reservations, parking arrangements, and
availability and setup of tables, chairs and equipment.
- Reviews and assesses choices and
alternatives based on facilities, food, beverages, and other items for
quality, functionality, and cost; and makes appropriate recommendations to
administration.
- Prepares estimate of event costs and submits
estimates for administrative approval. Plans and implements events within
approved dollar limits.
- Makes invitations verbally and/or prepares
and mails invitations, as appropriate, and manages the RSVP process.
- Operates a personal computer and appropriate
software packages, including word processing and spreadsheet applications, in
performance of relevant job duties.
- Performs other duties as assigned.
EDUCATIONAL
REQUIREMENTS:
Bachelor's degree required.
EXPERIENCE REQUIREMENTS:
Two (2) years of related experience.
KNOWLEDGE/ABILITIES/SKILL
REQUIREMENTS:
Possession of teamwork and communication
skills. Computer proficiency. Ability to interact with students, business,
faculty & staff, and members of the community. Excellent communication skills
and knowledge of proper social protocol. Leadership ability to ensure that all
phases of events are properly planned and executed. Supervision of staff
assigned to various events.
