TITLE: Senior Executive Staff
Assistant to the Senior Vice President

BASIC
FUNCTION:
Performs
highly responsible staff assistant and/or administrative duties to the Senior
Vice President's Office of St. Petersburg College.
RESPONSIBILITIES:
- Serves as staff assistant to the administration
and relieves supervisor of administrative detail.
- Relieves and assists administrator by
performing administrative details.
- Maintains Senior Vice President's files,
records, statistics, and follow-up systems.
- Performs research and special projects
for the Senior Vice President as assigned.
- Prepares correspondence, reports,
letters, tests, documents and related materials for the Senior Vice
President and other department personnel.
- Processes departmental budget matters as
directed.
- Opens reviews and processes incoming
mail.
- Assists as needed with Senior Vice
President's appointments and meetings.
- Schedules and participates in meetings,
conferences and related activities.
- Serves as liaison between the
Provost/Dean Council and other college departments and units.
- Processes and answers inquiries
regarding department operations or functions.
- Provides information to visitors,
students and staff regarding operations of the department in person or
over the phone.
- Operates a computer, calculator, data
entry machines and other office equipment.
- Prepares reports, statistics and other
information as directed by the Provost/Dean Council.
- The position may require the taking and
transcribing of correspondence and notes utilizing shorthand or a similar
method of transcription.
- Performs related duties as required.
EDUCATIONAL
REQUIREMENTS:
Associate’s degree
or the equivalent combination of education and experience.
EXPERIENCE
REQUIREMENTS:
Four (4)
years experience in administrative, staff assistant or secretarial work.
KNOWLEDGE/ABILITIES/SKILL
REQUIREMENTS:
Knowledge of
the operations of the administrative unit to which assigned. Knowledge of the
rules and procedures of the unit to which assigned. Knowledge of
sentence structure.
Knowledge of
word usage. Skill in reading comprehension. Skill in proofreading. Knowledge of
basic mathematics. Ability to maintain good relationships with the public,
students, faculty and staff. Ability to type at a prescribed rate of speed.
Ability to operate a computer. Communications skills. Office management skills.
